Using the CSC Van
1. The Community Service Center has a 8 passenger van. Student groups that receive their funding through the Center, or are otherwise formally affiliated with it and Center staff may reserve the van for university- related purposes. Because of our insurance deductible, groups not receiving their funding through the CSC may use the van only by placing a $1,000 deposit.2. Reservations must be made in advance of the day(s) you need to use the van. As reservations are made on a first-come, first-served basis, it is advisable to reserve the van as soon as you know your group will be needing it on a particular day. Reservations may not be made more than two weeks in advance. The van is available for university-related activities only. It is available only for projects led by Duke students; it is not available for the exclusive use of off-campus groups, nor may it be driven by anyone other than a Duke employee or Duke student designated by your group. Violation of these or any other van rule will result in UJB action and suspension of your group's van privileges.
3. Reservations for a particular block of time each week during the semester will be honored only in unusual cases. In any event, the van may be reserved for a maximum of 2 Friday afternoons per semester by any one group.
4. The individual(s) your group designates to drive the van must have a valid driver's license, carry personal automobile insurance, be a currently enrolled Duke student or a Duke employee, promise in advance to abide by all applicable traffic laws, and promise not to drive while under the influence of alcohol or while otherwise impaired. At the time the designated driver(s) picks up the van key from the Center, he/she must present a photocopy of his/her license, supply the Center with the name of his/her insurance carrier and insurance policy number, and sign out the key. The Center staff strongly recommends that the driver for each group prepare a list of names, and home and campus phone numbers of all students and non-students who will be passengers in the van to take along on each trip.
5. Under the terms of the University's liability insurance, there is a deductible of $1000 per accident. This means that students or employees who drive the van will be personally responsible for the first $1000 of damage should the van be stolen, vandalized, or damaged in an accident while it is in their possession. There is no waiver of this rule of personal financial responsibility.
6. Drivers are personally responsible for paying any traffic citations issued to them while driving the van. There is no waiver of this rule of personal financial responsibility.
7. Should the van be stolen, vandalized or damaged while entrusted to your group's care, you must follow these reporting procedures in the order listed:
(a) Immediately report the accident/situation to the police and, if necessary, to emergency medical personnel; never leave the scene of any accident without making a police report. Designate a group member to accompany any injured party from the group of van passengers who requires medical care to a hospital.
(b) If a van passenger is injured, notify next of kin immediately.
(c) Next, report the accident/situation to the Duke Police Department at 684-2444 and Duke Transportation at 684-2218. Ask for their advice about how to proceed, e.g., towing.
(d) Next, report the accident/situation to Elaine Madison at 684-4377 during office hours.
(e) Next, report the accident/situation to the van driver's insurance carrier. The driver may also wish to notify a family attorney.
8. Only students designated by your group as drivers are permitted to operate the van. Failure to abide by this restriction will result in your group losing its van privileges for the remainder of the school year.
9. Groups using the van must return it to the Center at the agreed upon time. It must also be returned cleaned and with a full tank of gas. Each group using the van is responsible for the cost of gasoline; under no circumstances will the Center cover fuel charges.
10. The van is provided to student groups for the purpose of transporting University students, faculty and staff and their belongings (i.e. backpacks, briefcases, etc.). It is not to be used to transport children, move construction equipment, furniture, etc. Your group will be assessed for the full cost of repairing any damages to the interior or exterior of the van that results from this or any other type of misuse.
11. The van is for local (in-state) trips taken for university-related activities. Taking it out of state without the express permission of Elaine Madison will result in your group losing its van privileges for the remainder of the school year and university disciplinary action.
